Terms & conditions of nominations
- The entry deadline is Friday 28th May at 5pm.Please ensure you complete your entries by this date. Please complete all sections of the form, entries that are incomplete, sent in after the deadline or exceed the stated word limit of 250 words will not be accepted. The entry form can be found on the thriving communities award page.
- Please ensure you read the criteriafor the awards you are entering. Remember to use evidence such as quotes, figures, and include as much information as possible on your entry form.
- By submitting your entry, you confirm that you have read and understood these terms and conditions and agree to be bound by them.
- Orbit’s decision as to whether an entry is eligible is final and we are not obliged to provide any reasons for disqualification.
- No entries will be accepted after the deadline on 28 May 2021 at 5pm.
- As part of your entry for the Stronger Together award, Betterdays award and Orbit Earth award you must supply at least one company logo and a project photo. Please supply this in JPEG or PDF format and email it to T.C.A@orbit.org.uk. For any photographs you submit you must ensure that you inform any individuals identified in the photograph that you intend to use the material for the purposes of this competition and obtain their consent.
- All completed and returned entries will be acknowledged online at the time of submission.
- Orbit do not accept any responsibility for loss or damage of any entry.
- The shortlisted finalists will be chosen by a panel of judges including one independent member and two customer and community board memebers.The judges’ decision is final, and no correspondence or discussion will be entered into or feedback given regarding the selection of shortlisted finalists or winners.
- Orbit will publish all finalists for public voting, first seeking approval, following the public votes winners and highly commended entries will be made public for future marketing and promotion.
- Orbit reserve the right to extend the closing deadline, amend categories or not award categories should the standard of entries received not reach the required standard.
- Failure to comply with the entry requirements will result in disqualification. Orbit reserves the right to withdraw this competition as a result of unforeseen circumstances.
- Orbit will use your personal information only in accordance with these terms and conditions and our privacy policy.
- Winners will be asked to take part in non-paid publicity including photography if required, relating to the competition.
- To withdraw an entry please email T.C.A@orbit.org.uk
- You will retain ownership of all intellectual property rights (including copyright) in your entry, but you agree to grant us a licence to use it for the purpose of the competition. The licence will last for the duration of the relevant intellectual property right and includes the right for us to:
- edit or modify your entry (including resizing, adjusting the colour and adding elements such as text)
- adapt it or incorporate it into other materials;
- sub-licence it to third parties or companies in our group to use for the purposes of the competition; and
- republish it (or any version modified in the way described above) on any media anywhere in the United Kingdom.
- You confirm that your entry:
- is your own original work and does not breach any third party’s intellectual property rights (for example, by including a company’s trade mark without permission);
- can be submitted to us and used without breaching any contractual obligation to any person; and
- does not contain anything which may be confidential or commercially sensitive.
Terms & conditions of judging
- The judges’ decision is final, and no correspondence or discussion will be entered into or feedback given regarding the selection of shortlisted nominations or winners.
- Shortlisted finalist will be contacted by email (on the address provided in the application) within two weeks of the closing date (by 11 June 2021).
- In the interest of transparency, judges and sponsors are ineligible to enter.
- In the interest of fairness, entries will be redacted with any personal information including name, age, race, location.
- Judges will not allow personal relationships or experiences to influence judging marks or decisions and their judging will be impartial and based on the standard of entry, campaign, organisation or product.
- Judges will declare any perceived conflict of interest to the event organisers ahead of reading any entries.
- All judging discussions are confidential and will not be shared or discussed with anyone outside of the judging panel ahead of the ceremony or thereafter.
- Judges will not share confidential material, judging papers or entries with anyone. Judges will securely delete all judging materials immediately after the judging period.
- Judges can only access entries that they have been provided to score.
- Judges will not notify anyone that they have won or that they are shortlisted ahead of the official announcements.
- Judges will not provide any feedback to entrants as to why they have not won or were not shortlisted.
- Should a judge break the rules of conduct and the code is not adhered to, they will be asked to leave the panel and not invited to judge any future awards.
- Finalists will have 2 working days to review their story to be published online for the final public votes, if no response is made, we will take this silence as approval to use to wording as it is written.
- Filming & Photography
- There will be a professional photographer and video production of the award winners. Photographs and videos taken at the award giving are the intellectual property of Orbit and will be such used in promotion and marketing post-event.
- Trophies
- All trophies are inspected prior to being sent. Once these trophies have been handed over, you are responsible for the trophy from thereon. Should you require a replacement trophy, please contact T.C.A@orbit.org.uk
